Use the receptionist portal
Use the receptionist portal to manage visitor activity in your workplace.
Before you begin
Role required: sn_wsd_visitor.staff
Procedure
- Navigate to All > Self-service > Employee Center.
- On the Employee Center portal, select Help Center > Workplace Services.

From the Workplace Services, select Manage receptionist desk.
The receptionist portal page opens with a dashboard of visits for the current day.
- Optional:
Change the location of the portal from the location list under the Visitors header label.
The locations in the list are fetched from the workplace profile of the receptionist. The primary workplace location is selected by default.

Perform any of the following actions based on your preference.
Action Steps View visitor details Select a visitor to view their details in the details panel. You can also search for the visitor using the visitor name, email, or host.
The following details are displayed on the panel:
- Visitor name
- Visitor email
- Pre-check tasks status
- Host info like the host's name and email
- Visit details like the date, time, location, and purpose
Note:You can set the visibility of the details panel as persistent by selecting the expand details panel icon ().
View other visitor states - On the receptionist portal, expand the Others column.
- Select the filters icon, then select the states you want to include in the column.
- Cancelled
- Completed
- Disappeared
- No Show
Select multiple visitors Use the Command or Ctrl key to select multiple visitors. You can perform actions like check-in, check-out, or print badges for all the selected visitors.
Complete pre-check tasks - Select a visitor from the Expected column.
The visitor must have the Pre-check pending status.
- On the details panel, select Open tasks.
- Ensure that the visitor completes the following tasks.
- Visitor Details: Fill in the details of the visitor.
The First name and Last name are required.
- Visitor Documents: Upload or take a picture of the visitor and their ID.
- Sign Policies: Ensure that the visitor reads and acknowledges the policies.
The visitor might have to provide a signature based on the configuration set by the admin.
- Visitor Details: Fill in the details of the visitor.
Check-in a visitor - Select visitors from the Expected column.
- Verify that the visitor has completed their pre check-in tasks.
If the pre-check is not complete, the visitor can complete their tasks on the portal.
- On the visitor card or the details panel, select Check in.
Alternatively, you can drag the visitor card into the checked in visitors column.
You can undo a check-in by selecting Undo Check-In from the context menu in the details panel.
Start a break - Select visitors from the Checked-In column.
- On the details panel, from the context menu, select Start break.
Visitors who are on break are displayed in the checked-out column.
End a break - Select visitors who are on break from the Checked-Out column.
- On the details panel, from the context menu, select End break.
Visitors who end their break are moved to the checked-in column.
Print visitor badges - Select visitors from the Checked-In column.
- On the details panel, select Print Badge.
A badge with the visitor details is displayed in a new browser tab.
- Print the badge by using your web browser's print options.
Check-out a visitor - Select the visitor from the Checked-In column.
- On the visitor card or the details panel, select Check out.
Alternatively, you can drag the visitor card into the checked out visitors column.
You can undo a check-out by selecting Undo Check-Out from the context menu in the details panel.
Create a visit - Select Create new visit.
- On the New visit form, fill in the fields.

- Select Create Visit.
- Add internal or external visitors.

- Select Confirm.
