## Summary of HR document generation

HR document generation in HR Service Delivery enables automated and manual creation of HR documents tied to HR cases.
This capability supports workflows where documents can be automatically drafted, previewed, signed, and sent to employees or other stakeholders.
It handles scenarios requiring single or multiple signatures and allows HR agents to review and edit documents before distribution.

## Key Features

* **Automatic document generation:** Documents such as Tuition Reimbursement Requests are automatically created and made available for the employee to sign when an HR case reaches specific states (e.g., Work in Progress or Ready). Administrators enable this via case options and HR service setup.
* **Multiple signatures support:** Documents like offer letters can require multiple signatures. The document is generated automatically only after all signatures are collected.
* **Preview, sign, and save workflow:** HR agents can preview documents, sign them if necessary, and send them to the subject person. For example, employment verification letters require agent review and signature before sending.
* **Flexible document availability:** By default, previewing a document makes it available to the subject person, but this can be controlled by adjusting the HR task template state.
* **Error resolution and editing:** The system supports identifying and correcting errors related to incorrect data sources, case information, or document templates. The preview mode shows the rendered content of variables, scripts, and blocks, facilitating accurate editing.

## Practical Considerations for ServiceNow Customers

* Set up HR services and case options to automate document generation based on your organizational workflows.
* Configure templates and task states carefully to control when documents become available to employees and other parties.
* Use the preview and signing features to maintain quality and compliance, ensuring HR agents can validate information before document finalization.
* Leverage error-checking guidance to troubleshoot incorrect document content or template issues efficiently.

By utilizing these features, ServiceNow customers can streamline HR document workflows, reduce manual effort, and improve the accuracy and compliance of HR communications.
There are multiple ways to generate documents in HR Service Delivery.{#DocumentGeneration__hr_doc_temp_ss}

## Automatically {#DocumentGeneration__section_lsf_yrt_lz}

The document is made available for the subject person to
sign.
Only after the signature is added, the document will be generated automatically. Following
are some examples:

* A document such as Tuition Reimbursement Request must be sent to the employee for signature. The Request Tuition Reimbursement service has a workflow that triggers a task for the subject person (employee) of the case. An
  administrator enables theAutomatically Create Draft Document case option on the HR service and sets up the HR service. When a case is created with that HR service and its state is changed to Work in Progress or Ready, a task gets automatically generated for the employee with the document available for signing.

* A document such as Employee Verification Letter must be sent to the employee that does not require any signature. An administrator selects the template on the HR service. An HR case is created with that HR service. The HR agent previews the document using the Preview Document option, generates the document, and sends an email to the employee using the Send email option
  on the case.

## Multiple signatures are collected {#DocumentGeneration__section_knn_ttq_rz}

Documents like offer letters can require multiple signatures. When all signatures are collected, the document is automatically generated.

## Preview, Sign, or Save {#DocumentGeneration__section_gjw_lst_lz}

Some documents require an HR agent to review, sign, or save it before sending it to a subject person for an HR case. An example is when a subject person requests an employment verification letter. This document requires an HR agent to review it for accuracy, sign it, and send it to the requested email address.

* Open a case requiring a document to be sent to the subject person.
* Confirm that the state is Work in Progress.
* The form header shows:
* Select Preview Document to view the document.
* Select Sign Document for documents that require an HR signature.
  Note:
  By default, the document is available for the subject person to view once you preview it. Change this behavior by changing the State field on the HR task template. You can access the task template from the HR Case form by selecting the HR serviceService ActivitiesChild task template.

## Change values {#DocumentGeneration__section_wrx_zpq_rz}

When there are errors in the document:

* Check the table the incorrect information is pulled from.
* Check the HR case to confirm correct case information.
* Check the document template for errors within the body of the document, incorrect field mapping, or variable information.
