Request erasure of personal data

  • As an employee or alumni, request erasure of your personal information when you no longer consent to processing, when there are significant errors within the data, or if you believe that the information is being stored unnecessarily.

    Before you begin

    Role required: sn_hr_core.hrsm_employee, sn_asc.alumni, sn_external, snc_internal, sn_hr_core.hrsm_alumni
    Note:
    To use snc_internal and snc_external roles, you must install the explicit_roles plugin.

    Procedure

    1. Navigate to All > Employee Service Center.
    2. From the Human resources tab, select HR systems.
    3. Select Erasure of Personal Data Request.
    4. On the Erasure of Personal Data Request form, fill in the fields.

      Fields Description
      PII data Specify the type of personal data to be deleted. For example, Phone number, Contact information, and so on.
      HR cases Related HR case number.
      What data you want to be deleted? If you select an HR case, choose if you want to delete the:
      • Entire HR case
      • Attachments only
      Email The email address of the employee requesting the report.
      Reason for deletion A valid justification for requesting the deletion.
      Add attachments Option to attach any related files.
    5. Select Submit.

    Result

    An HR case is created and the HR task is assigned to an agent belonging to the HR Data Privacy user group to review the request. If the agent approves the request, it’s moved to an agent in the HR data privacy compliance approvers user group as an additional approval step before deleting the employee data. Then, the HR data admin can proceed with the deletion and close the HR case.

    HR admin can choose to anonymize instead of deleting the employee data. For more information, see Data anonymization.

    Alumni can log in to the Alumni Center, go to HR systems and request for the report. For more information, see Using your Alumni Center. In case employees or customers don't have Alumni Center, the agent can create a request on behalf of the alumni.
