Manage your in-office presence preferences

  • Employees can customize and manage their in-office or workday presence preferences.

    Employees can reserve a space and get space suggestions based on their preferred locations, neighborhoods, workplace services, and collaborators. Employees can modify or update their workplace preferences as and when required using the In-office preferences option in the mobile app.

    Make sure you have the following applications:

    • Workplace Service Delivery for Mobile
    • Workplace Core
    • Workplace Reservation Management
    • Workplace Concierge
    • Indoor Mapping
    • Workplace Central
    • Workplace Space Management
    • Workplace Space Mapping

    Role required: sn_wsd_core.workplace_user

    Procedimento

    1. Log in to Now Mobile®.
    2. Access your Workplace Service Delivery for Mobile instance.
    3. Tap and select the In- office preferences option from the home page.

      Search for floors. Campus and building have pre-filled values if you have workplace profile data. Search and select a floor for your in-office preferences.

      Search for preferred workplace services to be added to a reservation if these services are available in a location.Select and add a workplace services to your in-office preferences.

      Nota:
      The option to manage your workplace preferences is also available on the Employee Center portal (All > Employee Center > Workplace Services > Site safety > Workplace Preferences). Employees are recommended to use the Workplace Service Delivery for Mobile to manage their hybrid work schedule and reserve a space before coming to office.
    4. Fill in the form fields.

      Field Description
      Campus Campus name. If an employee has a workplace profile, this field value is automatically set to employee's primary location.
      Nota:
      If an employee doesn't have a workplace profile, the Campus, Building, Floor fields are empty. This is a mandatory field information and employees should search for and select their preferred campus from the available list.

      Application provides workspace suggestions based on your preferred campus locations. Employee's location preferences are used while searching for a space to create a reservation.

      Building Building name. If an employee has a workplace profile this field value is automatically set to the preferred building. This is a mandatory field and employees should search for and select their preferred building from the available list.
      Application provides workspace suggestions based on your preferred building location to create a reservation.
      Nota:
      Building must be active and should be reservable.
      Floor Floor name. Employees can search for and add a preferred floor in a building.

      Application provides workspace suggestions based on your preferred floor selection.

      Neighborhoods Neighborhoods name. Employees can search for search for and add a preferred neighborhood or multiple neighborhoods.

      If an employee has assigned neighborhoods, the field value is automatically set to a neighborhood or neighborhoods. Employees can search for and add a new neighborhood. Neighborhoods are sorted based on the assigned group for an employee. Application provides workspace suggestions based on your preferred neighborhoods.

      Nota:
      Neighborhood is only available when Workplace Space Management is installed.
      Sit near Preferred Collaborators name. Option to add preferred collaborators to collaborate while you are in office. Selected collaborators will be used when suggesting spaces

      Application provides workspace suggestions based on your preferred collaborators. You can add multiple collaborators that you want to collaborate with while you are visiting your office. If the collaborators are available on your in-office days, application provides space suggestions accordingly.

      Application fetches preferred collaborators data from the Employee presence in Workplace Concierge. You have the option of removing collaborators and adding new ones as required for a selected location and as per your in-office presence day schedule.To add more than 10 preferred collaborators, you can use the Employee Presence dashboard in Workplace Concierge to add them. For more information, see Add a collaborator.

      Services Available workplace services for a reservation and a selected location. Option to add preferred workplace services to a reservation. The employee can search for and select multiple standard services as required. The employee can remove or add available standard services as required. They can search for a new service and add a service if it is available for a selected location. For example, wheel chair, video conferencing, whiteboard, water bottles, projector, furniture, and so on.
    5. Select Apply.
      You can now manage your workplace schedule and reserve a space using the desk suggestions and presence data. For more information, see Create a reservation for a day in Workplace.
