This guide explains the various states of a Business Impact Analysis (BIA) in ServiceNow and the associated UI actions available at each state. Understanding these states and actions helps you manage the lifecycle of a BIA efficiently, from creation to archiving.

States and Associated UI Actions
- Draft: Create a new BIA record using New from the BIA record list or Create BIA on the Home page. In this state, you can add details and respond to assessments on the Details and Assessments tabs.
- In review: Select Submit for review to transition the BIA to this state for evaluation.
- Pending approval: Use Submit for approval to move the BIA to this approval-pending state.
- Approved: Select Approve to finalize the BIA. In Approved state, the BIA is read-only; you can only view recovery point/time objective and dependency assessments.
- Archived: Choose Archive to move the BIA to archival. From release 9.0.x onwards, you can revert an archived BIA back to Draft by using the Edit button.
- Returned: If a BIA is rejected via Reject, it enters Returned state where you can edit and resubmit it for review.
Additional UI Actions Available in the Create New Impact Analysis Form
- Generate PDF: Download a PDF version of the BIA for reference. The PDF is accessible in the Activity panel on the Details tab.
- Copy: Save a copy of the BIA PDF as a template for future use.
- 360º view: Visualize a comprehensive overview of the BIA, including its name, template, dependencies, and results.
- Delete: Permanently remove the BIA if it is no longer needed.
- Edit: Modify the BIA details within the application.
- Save: Save changes made to the BIA.
Operational Notes
- A scheduled job runs weekly to automatically archive expired BIAs, ensuring your BIA records remain current and manageable.
When you create a business impact analysis, certain UI actions are associated with each state.

The states and their UI associated actions in a business impact analysis are described in the following table.

When you select New in the Create New Impact analysis form or Create BIA in the Home page, a record is created in the Draft state by default. On the Details tab, you can add details of the business impact analysis (BIA). On the Assessments tab, you can respond to the Recovery point objective assessment, Recovery time objective assessment, and Dependency assessment. |
