Link a reference cloud file that is already associated to other GRC records. You can link sharable files only.

## Before you begin

Role required: sn_audit.admin, sn_audit.manager, sn_grc_workspace.user

## Procedure

1. Navigate to AllAuditAudit Workspace.
2. Select the tasks icon (![Tasks icon]()).
3. Create a new audit engagement or navigate to an existing engagement and go to the Cloud files tab.
The list displays the engagements that are assigned to the logged-in user.
4. In the Cloud files tab, select Link reference file.
The Link reference file pop-up is displayed.
5. In the Select file field, select the reference file that you want to link to the record.
The field populates the cloud files that are sharable.
   Note:
You cannot link a non-sharable document as a reference file with other records. The files that are marked as non-sharable are not displayed in the list of available files in the pop-up.
6. Select Link in the pop-up.
The reference cloud file that is already associated to other GRC records is now linked. After the file is connected to Microsoft, the auditor or engagement lead gets read or write access based on the defined access permissions.

For information on File access permissions, see [Create a Cloud file configuration on engagements and audit tasks](https://servicenow-prod.fluidtopics.net/6HWTLqd6IqmAR1owiqkJ2w "The GRC Workspace administrators can create a Cloud file configuration on engagements and audit tasks from the Cloud file configuration module.").
