Share, modify, or cancel a reservation

  • You can view, modify (update), or cancel a reservation. Update the reserved workplace item or the date and time for a reservation.

    When you submit a reservation, you receive an email notification with the details of your reservation and its status. However, you can also view the details of your reservations, modify or cancel your reservation, and track the progress of your reservation using the My Reservations page.
    Hinweis:
    As an admin or reservation manager, you cannot edit a reservation opened manually using a URL.

    You can also view, edit, or cancel a reservation using the Virtual agent chat support. Navigate to Workplace Core > Workplace service portal, then select the chat icon (Chat icon.). Enter your question or select Show Me Everything to select from a list of available options to make your reservation changes.

    You can also update the reserved workplace item in your reservation and change the date and time of the reservation.

    Hinweis:
    You can’t edit a reservation made using Microsoft Exchange Online.

    Prozedur

    1. Navigate to My Reservations page from any of the following starting points.

      From application navigator Navigate to Workplace Reservation Management > Portal > My Reservations.
      From Workplace Service Portal
      1. Navigate to Workplace Core > Workplace service portal > Workplace Service Portal Home.
        Hinweis:
        You can also raise or submit a request from the Employee Center. On the home page, navigate to Workplace > Browse all Workplace and select the workplace service.
      2. Open My reservations, then follow these steps:
        1. Select Reservations > My reservations
        2. Select Open my reservation list from the Workplace services catalog.
          1. Select Catalog > Browse by categories > Workplace Services Catalog
            Hinweis:
            If there are multiple catalogs configured on the portal, go to the Catalogs list and select Workplace Services Catalog.
          2. Select Reservation Management > Open my reservation list.
      The My Reservations page opens in a new tab. All the reservations are listed according to the reservation date. The time is displayed based on the selected building's time zone.
    2. Wahlweise: To view the reservations that you have made on behalf of others, select Requested for > Reserved for others > .
    3. Wahlweise: Select View to view reservations based on their status such as Upcoming, Pending, Past, Cancelled, or All.
    4. Wahlweise: To search for a reservation, enter the details in Search my reservation.
    5. Select a reservation to view its details.
      Review the details of your reservation such as reservation number, status, item details, and services available.
    6. Perform the following actions on your reservation:

      Update a reservation
      1. Select Change reservation details from the Actions list.
      2. On the form, update the information that you want to change.
      3. Select Update reservation details.
      Hinweis:
      • If you’re changing the location of a reservation, ensure that you change the location name in the subject in case it’s mentioned.
      • If you have additional services in the reservation, the workplace service case is closed and a new one is created.

        Based on the software version installed by the admin, the case can remain open and only the child cases are created again.

      • If you have additional services in the reservation, the workplace service case remains open until all the service item requests are fulfilled. Based on the configuration set by the admin, unfulfilled service item requests are either updated, or canceled and recreated.
      Update additional services of a reservation
      1. Select Change reservation details from the Actions list.
      2. Select Edit for the service that you want to update.
      3. On the pop-up, perform either of the following steps based on your requirements:
        • Add another service item
        • Change the quantity of an existing item
        • Remove an existing item
      4. Select Update reservation details.

      Service items that are within their lead time can't be modified.

      If a back-end error occurs and you're not able to edit the services, contact your admin or case manager to modify the service items.

      Hinweis:
      Based on the configuration set by the admin, one of the following scenarios might occur when you edit a service:
      • The unfulfilled requests that have changes are moved to Closed Skipped, and only those requests are created again with the updated information.
      • All the unfulfilled service item requests are moved to Closed Skipped, and new requests are created with updated information.
      Share reservation details
      1. Select Share reservation from the Actions list.
      2. In the Send reservation details to field, select the users with whom you want to share the reservation.
      3. In the Include a note, enter a note if necessary.
      4. Select Send.

        The reservation details are shared via an email notification after the reservation is confirmed.

        Hinweis:
        You can’t share the details of a group reservation from the parent reservation directly. Instead, you can share the individual reservations that are created from the group reservation.
      Cancel a reservation
      1. Select Cancel reservation from the Actions list.
      2. Specify a reason for canceling the request in the Cancel notes field.
      3. Select Yes.

    Ergebnisse

    The reservation is updated with your changes and an email notification is sent with the details of your reservation.
