Create a scenario and add neighborhood spaces

  • Space planners can create scenarios to set up a neighborhood and assign spaces.

    Before you begin

    Space Planners can create one or multiple neighborhood scenarios to manage and allocate spaces within a building. Using Stack plan, visualize how neighborhood spaces are allocated within each floor of a neighborhood based on their allocation type to better optimize space allocation.
    Note:
    If an employee is assigned to a space and that space is added to a neighborhood, the employee is also added to the neighborhood.
    A move case task is initiated for employees with new space allocations as well for those that are moved from a floor.

    To add or edit an existing user assignment, refer to Add or edit user assignments of a neighborhood.
    Important:
    A user can have only one location in a neighborhood. If there are multiple locations in the same neighborhood, then, the latest added location is set as active and others are deleted.

    Role required: sn_wsd_spcmgmt.space_planner, sn_wsd_spcmgmt.scenario_reader (read-only; to view a scenario)

    Procedure

    1. Navigate to any one of the following locations:
      • All > Workplace Central > Workplace Central.
      • All > Scenario Planning > My Scenario Plans
      You can also open Workplace Central from the Employee Center directly. Navigate to Workspaces > Workplace Central.
      The Workplace Analytics dashboard opens.
    2. On the left pane, select Space Optimization icon ().
      The Space optimization dashboard opens.
    3. Select Create scenario.
      For more information about these scenarios, see Create a scenario with a building.
    4. Provide the scenario name and short description.
    5. On the Scenario details form page, complete the following.

      Field Description
      Building name Name of the building assigned to a neighborhood in Workplace Central.
      Group by Select Neighborhoods from the drop-down list.
      Space qualifying filter Based on your selection, all the spaces that match the Space qualifying filter conditions are selected from the condition builder.

      For example: Building is Buidling A or Assignment type is Permanent and so on.

    6. Select Save.
      The scenario creation process may take some time to complete. After the scenario is created, the scenario is listed with other scenarios. Refresh the list to view your scenario.
    7. Your newly created scenario is set initially to a Draft state on the Scenario Plans page.

    8. Open the newly created scenario.
      The neighborhood scenario opens in a new tab.
    9. Select the Stack plan tab.
    10. The right panel shows the Space details and View options for a selected scenario on the Stack plan.
    11. In the View Options, you have the following two options:
      • Edit Scenario: You can only edit a scenario using the Edit Scenario options.
      • View Scenario: View scenario details like unassigned users, allocated spaces, and available spaces on a floor.
    12. To edit a space allocation for a neighborhood, edit the following attributes for a scenario.

      Field Description
      Group by If you have selected Neighborhood in the Group by option on the Details tab of a scenario, then all neighborhoods on a floor are available for you to edit on the Stack plan.
      Floor Select and select a Floor to select all the bars on the floor (allocated and unallocated spaces). For example, Floor 2, to estimate the space count, capacity ratio, and total capacity for a floor in a scenario.
      Assignment

      Displays the following neighborhood user allocation details:

      • Number of Users
      • Assignment ratio
      • Assigned users
      • Unassigned users
      Space Count

      Select a bar with allocated neighborhood spaces to Increase (grow) or decrease (shrink) your scenario. After updating the Space count, select Apply.

      Assign to
      Select a floor to move users to new spaces. For example Floor 3 to Floor 4. Select Apply.
      Note:
      If a user is assigned to a space and that space is added to a neighborhood, the employee will be added to the neighborhood.
    13. To view a scenario, select View scenario and view the following attributes on the Stack plan:

      Select Neighborhood to view neighborhood allocation details.

      Assignment You can view the following details in the Assignment section:
      • Profiles assigned. Number of workplace profiles that are assigned to the neighborhood scenario.
      • Assignment ratio of assigned users and allocated spaces in a neighborhood.
      • Unassigned spaces available in a neighborhood.
      Floor Select and select a floor on the Stack plan, for example, Floor 3 to see allocated and unallocated space details.
      Space Select an unallocated bar to see the space count, space capacity and total capacity available on a floor.
    14. To add a user or edit the existing user assignment of a neighbourhood, do the following:
      1. On the scenario stack plan, select the neighborhood on the floor where you want to edit the user assignments.
      2. On the Space details panel, under the Assignment section, select Edit user assignments.
        A page opens displaying the list of users assigned to the neighborhood.
      3. Optional: Use the filter, sort, or refresh options to modify the list.
      4. To add users to the neighborhood, do the following:
        1. Select Add.
        2. In the Add user profile window, select the users whom you want to add.

          Use the filter option to filter the users list. You can add up to 1000 users to the neighborhood.

        3. Select Add.
        The users are added to the neighborhood. A new Workplace Profile Location Assignment is added to the user's workplace profile with the neighborhood assignment. The Source field of the user assignment is set as manual.
      5. To remove existing users from the neighborhood, do the following:
        1. Select the users whom you want to remove from the neighborhood.
        2. Select Remove.
        3. On the deletion confirmation window, select Delete All.
        The users are removed from the neighborhood. The Workplace Profile Location Assignment is removed from the user's workplace profile with the neighborhood assignment.
    15. After making required changes to a neighborhood, select Save to save the scenario.
