Deploy a scenario

  • After publishing a scenario plan, deploy the scenario on your production.

    Before you begin

    Ensure the following:
    • The scenario is already created. Otherwise, Create a scenario with a building.
    • The scenario is published. That is, the scenario is in the Ready state.
    • The scenario is assigned to you. You can deploy a scenario if you own it.

    About this task

    After you publish a scenario, deploy the scenario to view the changes on the main building data. After you deploy the scenario, the space allocations and department or cost center adjustments that you made in the scenario are implemented on the production or main building data.
    Note:
    • From Workplace Space Management version 1.15.0, deploying a scenario replaces existing allocations for a space with the allocations specified based on the Group by value.
    • For Workplace Space Management 1.14.0 or earlier versions, deploying a scenario replaces all allocations for the space with new allocations, regardless of the Group by value.
    During deployment, specify if you want to collate all move request raised for the scenario deployment into a single move project. Using a move project, you can track move requests and also schedule based on availability. For more information, refer to Move project views, actions, and states.
    Warning:
    The option to create a move project appears only if there is at least one workplace user movement in the published scenario.

    Procedure

    1. Navigate to any one of the following locations:
      • All > Workplace Central > Workplace Central.
      • All > Scenario Planning > My Scenario Plans
    2. On the left pane, select Space Optimization icon (Space optimization icon.).
      The Space optimization dashboard opens.
    3. Create a scenario (single building or multi-building).
    4. Select the scenario that you want to deploy.
    5. Ensure that the scenario is owned by you.
      Check the Owned by field by opening the Details tab for a scenario.
    6. Select Deploy.
      The scenario is deployed and workplace cases are created for all the allocation and assignment changes you did on a scenario.
      Important:
      Your production data is updated with the scenario plan changes. Review the updated changes before proceeding with deployment.
      Note:
      Once a scenario is deployed, you cannot edit it using the Space Details panel on a stack plan and floor map. You can only view the scenario using the View Options.
    7. Optional: Navigate to Space Deployment plan and the User Deployment tab.
      The details of all the changes that you performed in the scenario are displayed. You can view details for building and floor where the change was applied, space, the type of changes, the current and the scenario value.

      Field Description
      Space Workplace space name with updated scenario plan changes.
      Floor Workplace floor name with updated scenario plan changes.
      Building Workplace building name with updated scenario plan changes.
      Type of change Changes updated on the scenario. For example: Allocation.
      Current value Current space allocation type after you move a space (bar) or floor from one building to another or move a space within the same building. For example:
      • Departments: User Experience
      • Cost Centers: Production
      Scenario value Scenario bar or space that was moved to make the new allocation type changes. For example:
      • Unallocated
      • Cost Centers: Customer Service
      Workplace case Workplace case ID.

      Select the case Id number to view the case details on the Workplace allocation change.

      User User name updating the scenario plan changes.
      Operation Operation or process type performed while updating a scenario plan. For example: Insert, Delete, Update, Orphan.
      From workplace location The workplace location Id or name from where the space allocation changes were initiated for a scenario. For example,workplace desk or space name: A7.0190
      Workplace location The workplace location Id or name to where the space or bar was moved.For example; A6.0246
      Parent Immediate Allocation type hierarchy of Workplace Location Column. For example, Floor name.
      Parent (Building) Allocation type hierarchy of Parent of Workplace Location. For example, Building name.
      Workplace Case Workplace case Id number. Select the case Id to open the Workplace user assignment changes page to view the Workplace Move case details.
    8. Optional: In the dialog box that appears, if you want to create a move project for all the moves of the scenario, select the Create move project option.
      You can view all the move requests created after deploying the scenario in the move project. You can track and schedule a move request if required. For more information, refer to Move Management.
      Warning:
      The option appears only if there is at least one workplace user move in the published scenario.
    9. In the dialog box that appears, click Yes to deploy.

    Result

    The scenario is deployed. After the scenario is deployed, the state of the scenario changes to Deployed. Each change triggers a workplace case in the Workplace Case Management application.

    Depending on the type of change, the following workplace services types are created:
    • Workplace User Assignment and Move Service via Scenario Planning: Workplace service to update the user assignment and perform move activities related to the user.
    • Workplace Assignment Type Service: Workplace service to change the assignment type of a space.
    • Workplace Allocation Change Service: Workplace service to change the allocation of a space.

    If you want to work on a move project for all the move requests in a deployed scenario, track the move project in the Move management workspace. To work on the move project, see Work on a move project.
