Download an iCalendar for a reservation

    • Add the reservation to your office calendar by downloading the iCalendar of the reservation.

    Before you begin

    You can download an iCalendar only if your organization has enabled the configuration on the reserved workplace item.

    Role required: sn_wsd_core.workplace_user

    About this task

    Download an iCalendar of a reservation directly from the Reservation summary page. After you download the iCalendar, an .ics file is generated which opens a meeting appointment window directly in your calendar provider application. You can review the details and save to add the appointment to your calendar.

    For example, assume that your calendar provider is Microsoft Outlook. After you download an iCalendar of a reservation, the iCalendar opens a new meeting appointment window directly in Microsoft Outlook. You can view the details and click Save and close to add the reservation to your calendar.

    Procedure

    1. Navigate to My Reservations page from any of the following starting points.

      From the application navigator Navigate to Workplace Reservation Management > Portal > My Reservations.
      Employee Center
      1. Navigate to Employee Center (All > Self-Service > Employee Center). On the home page, navigate to Workplace > Browse all Workplace and select the workplace service.

      2. Open My reservations, and do one of the following:
        1. Click Reservations > My reservations
        2. Select Open my reservation list from the Workplace services catalog, and do the following:
          1. Select Catalog > Browse by categories > Workplace Services Catalog
            Note:
            If there are multiple catalogs configured on the portal, then go to the Catalogs list and select Workplace Services Catalog.
          2. Select Reservation Management > Open my reservation list.
      The My Reservations page opens in a new tab.
    2. Click the reservation for which you want to download an iCalendar.
    3. Click Actions.
    4. Select Download iCalendar.
      An .ics file is downloaded.
    5. Open the downloaded .ics file.
      The .ics file opens an appointment window directly in your calendar. For example, if you are using Microsoft Outlook, when you open the .ics file, an appointment window opens directly in Outlook.
    6. Review the reservation details if required.
    7. Save the reservation.

    Result

    The reservation is added to your calendar.
