Define an internal signatory rule

  • Define an internal signatory rule to map the signatory to a template using signatory mappings.

    Role required: sn_cm_core.contract_config

    About this task

    If you want the variables related to contract request to be available in condition builder, add the contract request reference to your application table. For more information, see Provide access to contract request fields in condition builders

    Procedure

    1. Navigate to All > Contracts Core > Contracts Administration > Internal Signatory Rules.
    2. Click New or edit an existing internal signatory rule.
    3. On the form, fill in the fields.

      Field Description
      Name Display name of the internal signatory rule.
      Template Template selected from the active and published templates list.
      Table Table to which the selected template is associated. This is auto-populated on template selection.
      Description Description of the internal signatory rule.
      Active Option to indicate that the signatory rule is active and available for use.
      Order Order in which the signatory rule is used.
      Applies to Conditions under which the internal signatory rule is selected.

      For example, for an assignment group, you can map the participant and signatory to a specific internal signatory.

    4. Click Submit or Update the internal signatory rule.

    5. In the Signers Mappings related list, click New.
      1. Select a Participant from the internal signers list.
      2. Select Signer from the list.
        Note:
        When more than one signatory rule is applicable, the signatory rule with the lowest order is picked.

    Result

    Internal signatory rule is created to map a participant as an internal signatory for corresponding template.
    Note:
    During signatory assignment for contract based on own paper, the Internal signatory rule takes precedence.
    • A participant from Signers mappings is picked as a signatory.
    • When a participant is not available under Internal Signatory rule, signatory is picked from the user field mapping of participant list in the template.
    • While creating the signer task for internal user, check if the users Legal Name is available in the Employee profile and use Legal Name or use the user name from the sys_user table. For more information, see Employee Profile form.
    • When no data is found, a blank signatory record is created and the fulfiller can update with the correct signatory details.
