Configure a permit checklist

  • Create a permit checklist and link it to the permit type of a permit-to-work request.

    Before you begin

    Role required: admin and sn_hs_rm.permit_coordinator

    About this task

    The admins must assign specific roles to the sn_hs_rm.permit_coordinator role to enable the permit coordinator to perform this configuration. For more information, see Configure permit-to-work.

    Procedure

    1. Navigate to All > Service catalog > Catalog definitions > Record producers.
    2. Search and select Permit checklist record.
    3. Select the Variable sets tab in the related list and select New.
    4. Select single row variable set on the variable set creation form.

      Creates a variable set with variables that are grouped.

    5. On the form, fill in the fields.
      For more information on the field description, see Variable set new record form.
    6. Select Submit.
      The new variable set is created and can be viewed in the Variable sets tab on the related list of the permit checklist record producer.
    7. Open the new variable set and on the form fill in the fields.
      For more information on the field description, see Variable new record form.
    8. Select Submit.
      Repeat the steps 7 and 8 to create more questions.
      A permit checklist with questions customized to the permit type is created.
    9. Create a checklist type.
      1. Navigate to All > System definition > Tables and select the Permits checklist table.
      2. Select Checklist type in the Columns tab of the related list.
      3. Select the Choices tab in the related list and select New.
      4. On the form, fill in the fields.

      5. Select Submit.
    10. Associate the checklist to a permit type.
      1. Navigate to All > System definition > Decision tables and select Permit checklist configuration.
      2. Select Draft and select Add new decision row.
      3. Select the empty cell in the permit type column and select the permit type in the Choice input field in the permit type, then select OK.
      4. Select the empty cell in the checklist type column and select the checklist type in the Choice input field, then select OK.
      5. Select the empty cell in the variable set column and select the variable set in the Choice input field, then select OK.
      6. Select Save.
      7. Select Publish and then select Publish in the modal dialogue.
    11. Create a flow for the checklist type or modify an existing one.
      1. Navigate to All > Process Automation > Flow Designer.
      2. Select Create permit checklist when permit created from the Flows list.
      3. Select Duplicate action for the existing Create permit checklist record action.

        The flows are built using ServiceNow Workflow Studio, so make sure you’re familiar with the Flow Designer basics.

      4. Select the new checklist type in the Checklist type field.
      5. Select Save and then select Activate.

    Result

    The checklist is configured and displayed in the checklist tab of the permit-to-work request form when the permit type is selected.
