View, allocate, and approve unassigned work using Resource Management Workspace

  • Filter the unassigned work to view priority requests and assign them to resources. Quickly connect with the requester via Microsoft Teams to get additional insights and approve the assigned work using the inline editing feature.

    Before you begin

    Procedure

    1. Navigate to Workspaces > Resource Management Workspace and open a resource card.
    2. Enable the Unassigned tasks toggle (Unassigned tasks toggle.) to view the unassigned work requests in the lower tray.
      Project Managers create resource requests based on the primary attributes (Group, Skill, or Role).
    3. In the bottom tray, select Filter (Funnel symbol indicating the filter option.) to filter the unassigned work and get a custom view of what you want to see.
      You can use the attributes such as resource groups, teams, roles, skills, projects, time frame and so on to work with advanced filters.
      Tip:
      Use condition builder to build a filter and work on priority requests.

      Example: This is a condition to filter the unassigned work requests created in the this quarter for a specific user.

    4. Select Filter.
      The unassigned work matching the filter condition is displayed.

    5. Select Row context menu (3 vertical dots denoting the row context menu.) and select Assign Work.

    6. In the Assign Work window, filter the User list to select a resource and select Allocate.
      While assigning the work, you can easily identify if a resource is available (Green tick mark within a green circle indicating the resource allocation is within the available bandwidth.) or overutilized (Red exclamation mark within a red triangle indication the resource is overallocated.), even for the future periods, using the iconography.
      Note:
      By default, the assigned work will be in Pending state (Yellow rectangular pending state icon.) and is moved to the nested view in the top tray.
    7. Expand a resource row Right pointed arrow head to expand resource details icon.) to view assigned tasks.
    8. You can select the owner's name to collaborate with them over Microsoft Teams to get additional insights and approve or reject the requests.
    9. Double-click the Resource status cell of a task and choose one of the following options to manage the allocations.
      ChoiceDescription
      Approved To approve the assigned work and confirm the resource allocation.
      Unapproved Unapprove any assigned work.
      Pending Move approved or unapproved tasks to re-prioritized the work requests.

    Result

    The assigned work items are Approved (Green rectangular approved state icon.) or Unapproved (Pink rectangular approved state icon.) and the status of the work assignments is rolled up to the resource level.
