This guide outlines how ServiceNow customers can configure and administer dashboards within the Yokohama release. It covers common user-level tasks as well as administrative configurations and Process Mining integration, enabling you to customize dashboards effectively and manage their lifecycle within your organization.

Common configuration tasks
Users with dashboard ownership or editing rights can perform the following tasks without special roles:
- Change dashboard name or description: Update these fields to provide clarity and context for dashboard users.
- Specify dashboard requester: Assign a user as the requester, automatically granting them editing rights.
- Transfer dashboard ownership: Owners can transfer ownership to another user or user group.
- Set background colors: Customize the background colors for one or more dashboard tabs to improve visual organization.
- View creator and sharing details: Identify who created the dashboard and with whom it is shared.
Admin configuration tasks
These tasks require the dashboardadmin or admin role and enable advanced control over dashboard behavior and access:
- Set data refresh options: Configure scheduled refreshes and data caching to optimize performance and data accuracy.
- Certify dashboards: Officially approve dashboards for organizational use, ensuring reliability and governance.
- Configure dashboard tab cache timeout: Define how long dashboard tab content is retained before refresh, affecting all dashboards instance-wide.
- Manage workspace permissions: Control which workspaces outside of Platform Analytics can include the dashboard, facilitating broader use within the ServiceNow ecosystem.
- Move dashboards between instances: Using update sets, transfer dashboard structure (excluding contents) across ServiceNow instances.
Process Mining integration tasks
For users with the snprocessoptimizationanalyst role, additional configuration options include:
- Configure Process Mining maps: Visualize process states and transitions on dashboards to analyze object states and transition speeds.
- Create Process Mining projects from Proactive Analytics suggestions: Utilize Insights panel suggestions to initiate new Process Mining projects for deeper process analysis.
These capabilities enhance process optimization directly within your dashboards.
Configure your dashboard and perform admin tasks. Most tasks are performed in either the dashboard details or the dashboard settings UI.
Common configuration tasks
The following tasks do not require a special role, though they may be limited to the dashboard owner or a user with editing rights.
- Change dashboard name or description
Provide an informative description of your dashboard for other users.
- Specify dashboard requester
Specify the user who requested that this dashboard be created. Specifying the user automatically gives them editing rights to the dashboard.
- Transfer ownership of the dashboard
By default, the creator of the dashboard is the dashboard owner. If you are the owner of a dashboard, you can transfer this ownership to another user or to a user group.
- Set the background colors
Select the background colors for one or more tabs on the dashboard.
- See who created the dashboard
- See with whom the dashboard is shared
Admin configuration tasks
The following tasks require at least the dashboard_admin if not the admin role.
- Set data refresh options
Set whether the dashboard is refreshed on a schedule and whether data caching is used. Requires the dashboard_admin or admin role. For more information, see Data caching in Platform Analytics.
- Certify a dashboard
Certify that a dashboard has been officially approved for use by your organization. Requires the admin role.
- Configure Platform Analytics dashboard tab cache timeout
Set the number of minutes that dashboard tab content is retained before being refreshed. Applies to all dashboard tabs on the instance. Requires the admin role.
- Manage which workspaces are allowed to contain the dashboard
Specify the workspaces on the instance other than the Platform Analytics experience that this dashboard can be added to. Requires the admin or dashboard admin role. For more information about dashboards in workspaces, see Add a dashboard to a Dashboards page.
- Move a Platform Analytics dashboard with an update set
Moves the dashboard structure to an update set, so it can be put on another instance. Does not include dashboard contents. Requires the admin role.
Process Mining integration tasks
- Configure a Process Mining map on a dashboard
Map the different states that are part of your process and the transitions between those states. See which states the objects of the process are in and the speed with which they change state. Requires the sn_process_optimization_analyst role.
- Creating Process Mining projects from Proactive Analytics suggestions
The Insights panel can include suggestions for Process Mining projects to create. Creating the projects requires the sn_process_optimization_analyst role.
