## Summary of Purchasing from punchout or third-party suppliers

This functionality enables shoppers in a designated punchout group to access and purchase from external third-party supplier sites via ShoppingHub or Employee Center.
It streamlines procurement by integrating third-party purchases into ServiceNow's procurement processes, providing visibility from purchase through shipment.
Show full answer Show less

## Accessing External Suppliers

* **ShoppingHub:** Shoppers can navigate to external suppliers under the Suppliers \> Supplier sites tab or via the "Purchase directly from the supplier site" widget, which displays up to four external suppliers with access to a full list if more exist.
* **Employee Center:** Punchout shoppers can access external suppliers via Purchase and Expense \> Quick links or Browse all \> Quick links, leading to a sortable and searchable Supplier sites page for selecting suppliers and making purchases.

## Post-Checkout Process

After completing a purchase on a third-party site, the purchase requisition details---including supplier info, products, approvals, contracts, and cases---are available in the My purchases page on ShoppingHub. Upon approval and case completion, the procurement specialist creates a purchase order, which procurement admins can also track in the external supplier's order logs.

Order and shipment confirmations are automatically updated within ServiceNow. Changes to order quantity or price at the supplier are sent as revisions and reflected as revised purchase requisitions, ensuring procurement records remain accurate.

## Troubleshooting

* Review import logs and transform history for purchase requisition creation issues.
* Check flow action executions for punchout setup or order confirmation failures.
* Monitor punchout revision flows for any edit or cancel issues.
* An HTTP 500 error typically indicates invalid credentials or missing punchout configuration in the supplier registration.

## Practical Benefits for ServiceNow Customers

* Provides a seamless shopping experience from ServiceNow portals directly to external suppliers.
* Ensures procurement visibility and control over third-party purchases and shipments.
* Automates purchase order creation and updates based on external supplier confirmations and revisions.
* Supports troubleshooting with clear guidance on common error sources and logs to check.

They can view the third-party purchases in the My purchases page on ShoppingHub, and also view the shipment records received from the third-party sites.

## Post checkout from external supplier sites {#purch-punchout-third-party-supp__section_jsj_fyk_2bc}

After successfully completing a checkout at an external third-party supplier site, a shopper can view the third-party purchase requisition in the My purchases page from ShoppingHub Home. The purchase requisition record contains
details of the third-party supplier, purchase lines with product names, and the associated approvals, contracts, and cases.

Once the necessary approvals are received and the associated cases are completed, a purchase order is created by the procurement specialist. The same purchase order can also be viewed by the procurement admin in the external site in
their order logs. The order confirmation and shipment confirmation details are received from the external supplier site as and when the order is processed. Shipment details are captured in the Shipment Details table by purchase
lines.

In case of an update to the order quantity or price at the external supplier end, the same is sent as a revision during order confirmation to SPO, which is then updated in SPO as a revision purchase requisition. For more information on purchase revision scenarios, see [Purchase revision flows](https://servicenow-prod.fluidtopics.net/eXN2ZnIyGrw3reD7HLJ~zg "As a procurement administrator, you can leverage or modify the existing workflows to process the purchase modification requests raised by shoppers.").

For information on emails triggered by the system, see [Alerts and email notifications from ShoppingHub](https://servicenow-prod.fluidtopics.net/RXysaS3cf9QYoJkHJgUypw "Several alerts and email notifications are triggered from ShoppingHub. This may be a result of your action, an assignment for you, or to keep you updated on the status of your purchases, including blanket contracts.").

## Troubleshooting errors {#purch-punchout-third-party-supp__section_onn_kkl_2bc}

In case of any failures in creating purchase requisitions, check the import logs or transform history records. Check the flow actions 'Send Punchout Setup request' and 'Send punchout order request' context executions for
connection setup failures and order confirmation failures. Check the 'Punchout Edit/Cancel flow' context executions for punchout revision flow failures.

An error code of 500 would indicate an invalid credential record or a missing punchout configuration in the third-party registration for supplier.
