Privacy data request fulfillment workflow
After a requester successfully submits a privacy request and completes email verification, the request is routed to a Personal Data Rights (PDR) agent. The agent assigns action tasks to internal owners, reviews all completed tasks, closes the request, and notifies the requester by email with relevant details.
After a requester successfully submits a privacy request and completes email verification, the following workflow is initiated:
- Assignment to PDR agent: The validated privacy request is automatically assigned to a Personal Data Rights (PDR) agent within the organization. The PDR agent reviews the request details and confirms the applicable privacy right and jurisdiction.
- Identification of action task owners: The PDR agent determines which internal teams or individuals (action task owners) are responsible for fulfilling the specific data request. Action tasks may include data retrieval, correction, deletion, or providing information, depending on the request type.
- Completion of required actions: The Task owners complete the required actions (for example, updating records, erasing data, compiling information) and notify the PDR agent that their tasks are finished.
- Review and closure by PDR agent: The PDR agent reviews all completed action tasks. After the agent is satisfied that the request has been fully addresses, the agent closes the privacy request.
- Notification to the requester: On completion, an email notification is sent to the requester confirming fulfillment of the request and providing all relevant details and supporting documentation.
