## Summary of Record Producer Action

The Record Producer action in ServiceNow allows users to create a Task record from a Record Producer Catalog Item, inheriting variable values from the catalog item.
This functionality is available as a Workflow Studio core action, enabling users with the flowdesigner or admin role to configure it within flows.
Show full answer Show less

## Key Features

* **Inputs:**
  * **Catalog Item:** Reference to the catalog item used for Task creation.
  * **Catalog Item Inputs:** String representing associated catalog variables.
  * **Don't fail on error:** Boolean indicating whether to halt on error occurrences.
* **Outputs:**
  * **Table:** The name of the table where the Task record is created.
  * **Record:** Reference to the created Task record.
  * **Error Message:** String displaying any error encountered during the operation.
  * **Status:** Indicates the completion status of the action (Success \[0\] or Error \[1\]).

## Key Outcomes

Upon execution, if an error arises, messages such as "Record generation failed, check logs to get more information" will be displayed, helping users diagnose issues. Additionally, design considerations include escaping quotation marks in string data to prevent JSON formatting errors and validating data pills with transform functions for accuracy.

Create a Task record from a Record Producer Catalog Item \[sc_cat_item\]. The Task record inherits values from the catalog item's variable values.

## Roles and availability {#record-producer-flow-designer__section_pwq_rb5_kcb}

Available as a Workflow Studio ServiceNow core action. Users with the flow_designer or admin role can add an action to a flow and define configuration details.

## Inputs {#record-producer-flow-designer__section_qzq_3ny_lnb}

Provide a value for each input that your action needs. To add dynamic values, you can also drag and drop pills from the Data panel or select them from the pill picker.

| Input | Data type | Description |
|-|-|-|
| Catalog Item | Record | Reference to catalog item used to create a Task record. |
| Catalog Item Inputs | String | Catalog variables associated with the catalog item you choose. You can view associated catalog variables for Catalog Items from Service CatalogCatalog DefinitionsRecord Producers. |
| Don't fail on error | True/False | Catalog variable indicating whether to fail on error. |

## Outputs {#record-producer-flow-designer__section_kyg_qny_lnb}

These outputs appear in the Data panel. You can use them as inputs elsewhere in your flow.
{#record-producer-flow-designer__table_szc_rny_lnb__entry__3}

| Output | Data type | Description |
|-|-|-|
| Table | Table Name | Table where Task record was created. |
| Record | Record | Reference to Task record created. |
| Error Message | String | Error message produced when the record operation fails. |
| Status | Choice | Completion status of the action. The flow execution details page displays one of these numeric values. * Success \[0\]: The action succeeded. * Error \[1\]: The action produced an error. {#record-producer-flow-designer__ul_flw_nsy_zmb} |

## Error messages {#record-producer-flow-designer__section_sqv_cmp_pnb}

If an error occurs with this action, the following error messages appear in the [execution details](https://servicenow-prod.fluidtopics.net/74QTppHjnADqEx74Gqai7w "View run-time information about an action or flow directly from the design environment, such as the current state, items run, and values produced. Open related records from embedded ServiceNow AI Platform editors or in a new tab.") page.
{#record-producer-flow-designer__table_l5d_3mp_pnb__entry__2}

| Error message | Description |
|-|-|
| Record generation failed, check logs to get more information. | This error typically occurs when your flow or action contains logic to insert a record or records into other tables. When this logic exists, the Record Producer action aborts inserting the record into the table. |

## Design considerations {#record-producer-flow-designer__section_tvl_db4_45b}

Follow these design considerations when creating flows that contain Record Producer
actions.

Escape quotation marks from string data pills with the String Replace transform
function
: Complex string variables are converted into JSON format when stored in the system. To
    prevent any JSON formatting errors, you can use a Replace String transform function to
    escape the quotation marks present in any string data pills you use for catalog
    variables. See [String transform functions](https://servicenow-prod.fluidtopics.net/~KLQRtaH2IFGxnlMmPf4cw "Use string transform functions to reformat or perform calculations on String data pills.").

Use transform functions to validate data pills
: Whenever you use a data pill to provide data for an action input, you can use a
    transform function to validate the data. See [Transform functions](https://servicenow-prod.fluidtopics.net/Rnk38vm3sLblAarQEQ9Kzg "Transform data pill values without the need to write a script. Use transform functions to reformat text, perform mathematical calculations, sanitize potentially unsafe SQL statements, and serialize complex objects to raw XML.") for a list of available transform
    functions.
